1. About this policy

Halani Immigration Services Inc. ("Halani", "we", "us") is a Canadian immigration practice operated by Shoukat Qumruddin Halani, RCIC-IRB, licensed under the College of Immigration and Citizenship Consultants (CICC), licence number R711322.

This Privacy Policy explains how we collect, use, disclose, and safeguard the personal information of clients and prospective clients. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

2. Information we collect

When you submit our intake form, contact form, or engage our services, we collect: your full legal name(s) including aliases, date of birth, citizenship and nationality, contact details (email, phone, address), passport and identity-document data, immigration history, family-member identity and biographical data, education and employment history, financial information necessary for an immigration application, language test results, biometric/medical references where required, and any other information you choose to provide.

We may receive copies of identity documents, civil status documents, police clearances, and supporting evidence. These are stored under appropriate access controls.

We do not collect more information than necessary for the purpose disclosed.

3. How we use your information

Your information is used solely to assess your immigration matter, prepare and submit applications to Immigration, Refugees and Citizenship Canada (IRCC) and other federal/provincial bodies, represent you at the Immigration and Refugee Board (IRB) where applicable, and communicate with you about your file.

We do not sell your personal information. We do not use it for marketing to third parties.

4. Disclosure to third parties

We disclose information only as necessary to deliver our services or as required by law. This may include: IRCC, IRB, ESDC, and other government agencies; provincial nominee program offices; designated learning institutions and panel physicians where applicable; cloud service providers (database, document storage, email) operating under strict contractual safeguards; lawyers when judicial review or specialized advice is required (with your consent).

All disclosures are governed by our retainer agreement and CICC Code of Professional Conduct.

5. Storage and security

We retain client files for at least six (6) years after closure as required by the CICC Retention of Client Records Regulation. Files are stored in encrypted cloud infrastructure. Access is restricted to authorized personnel only, logged, and audit-reviewed.

Technical safeguards include encryption in transit (TLS 1.2+) and at rest, role-based access control, multi-factor authentication on administrative accounts, and structured audit logging of every privileged action.

Despite our safeguards, no system can be guaranteed perfectly secure. We notify affected clients of any privacy breach in accordance with PIPEDA.

6. Your rights

You have the right to access the personal information we hold about you, to request correction of inaccurate or incomplete information, to withdraw consent (subject to legal/contractual constraints), and to file a complaint with the Office of the Privacy Commissioner of Canada.

7. Cookies and analytics

Our website uses essential cookies for session functionality. We may use privacy-respecting analytics (such as Plausible or first-party analytics) to understand traffic patterns. We do not use third-party advertising trackers.

URL parameters such as utm_source/utm_medium/utm_campaign are captured to attribute leads to marketing channels — these are stored only as metadata against your inquiry record.

8. AI assistance

We may use AI systems (such as Anthropic Claude) to assist with case summarization, document field extraction, and drafting communication. All AI-assisted output is reviewed and signed off by an RCIC before any client communication or submission. Prompts and AI outputs are retained in our audit log.

We never use your personal information to train third-party AI models. Our agreements with AI providers prohibit this.

9. Children

Our services are not directed at children under 18. Where we represent dependent applicants in family or refugee matters, we work with the parent or designated representative.

10. Updates to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated to active clients by email. The most current version is always available at this URL.
